Delegating access to your hostworld account

You can invite team members to access your Hostworld account with tailored permissions. Send an invitation via email, let them accept the one-time link, then manage or revoke their access anytime from User Management.

Invite a user in your Hostworld account at portal.hostworld.uk: go to Hello, Name! > User Management, enter their email under Invite New User, choose permissions, then Send Invite. They must click the one‑time link in the email to accept before they can access your account.

Before you start

  • Log in as the account owner at portal.hostworld.uk. Only owners can invite users.
  • Decide the minimum permissions the person needs. Users with View & Open Support Tickets can see and reply to all your tickets.
  • Have the invitee’s email and ask them to watch for the invite. The link expires after 7 days.

Step 1: Invite the user from your Hostworld account

  1. Log in at portal.hostworld.uk.
  2. Go to Hello, Name! > User Management.
  3. Under Invite New User, enter the person’s email address.
  4. Choose All Permissions or Choose Permissions. Prefer Choose Permissions and grant only what is needed. For example, if they will handle support only, include View & Open Support Tickets.
  5. Click Send Invite. The invitation will appear as Pending and will expire after 7 days if not accepted.

Step 2: Ask them to accept the invitation

  1. The invitee receives an email with a one‑time acceptance link. They must use that link.
  2. If they already have a WHMCS login, they sign in with it to accept. If not, they can create a new user as part of acceptance.
  3. Invitation acceptance is not the same as email verification. If email verification is enabled on the system and they are prompted, they must complete that separate step as well.

Step 3: Change or undo access

  1. Return to Hello, Name! > User Management to review users linked to your account.
  2. To tighten access, edit the user’s permissions to the minimum needed.
  3. To revoke access without deleting their WHMCS user, remove them from your account. This immediately stops their access to your services, billing and tickets.
  4. For Pending invitations, you can resend the invite or cancel it. Cancelling voids the link.

If it does not work

  • You cannot see User Management: This can be disabled globally. Do not share your password or change the main account email. Please open a support ticket and we will assist.
  • The invite never arrives or has expired: Ask the recipient to check spam and any security filters. In User Management, confirm the address, then resend the invite, or cancel and re‑invite. Remember invites expire after 7 days.
  • The invitee accepted but cannot see your account: They may have access to more than one client account. Ask them to log in and use Hello, Name! > Switch Account to pick the right one. Also confirm you granted the correct permissions.
